Refund Policy

At Nexus Public Policy Institute, we are committed to providing our valued delegates with a seamless and enriching experience at our conferences. However, we understand that certain circumstances may necessitate a refund. This policy outlines the terms and conditions governing refunds for conference registrations made through our online platform.

1. General Refund Policy

All payments made to Nexus Public Policy Institute are subject to the refund terms outlined below.

Unless otherwise expressly stated, approved refunds are issued only in the form of a Nexus Credit Voucher (NCV) for use towards future eligible Nexus events or services.

Application Processing Fees are separate from Participation Fees and are governed by different refund conditions.
 

2. Application Processing Fees (Non-Refundable)

Application Processing Fees are charged for administrative and professional services including, but not limited to:

  • Receiving and processing applications

  • Reviewing submitted documents

  • Eligibility assessment

  • Merit evaluation

  • Administrative processing

  • Communication with applicants

  • Database management

  • Selection procedures (where applicable)
     

Because these services begin immediately after submission, Application Processing Fees are strictly non-refundable and non-transferable.
 

This applies to:

  • Fully Funded Applications

  • Partially Funded Applications

  • Official Invitation Letter Applications

  • Online Participation Applications (where applicable)

  • Any other category where only an application processing fee is charge
     

No refund will be issued if an applicant:

  • Is not selected

  • Is placed on a waiting list

  • Withdraws their application

  • Changes their mind

  • Cannot attend

  • Fails to obtain a visa

  • Misses a deadline

  • Provides incorrect information

  • Purchases the incorrect category

  • Is unable to travel for personal or external reasons
     

Payment of the Application Processing Fee does not guarantee admission, scholarship selection, visa approval, travel support, accommodation, or participation unless expressly stated under the purchased category.
 

3. Official Invitation Letter Package

The Official Invitation Letter Package is a professional document preparation and visa-support service.

The package may include:

  • Official signed invitation letter

  • Official institutional stamp

  • QR-code verification

  • Unique reference number

  • Embassy verification (upon request)

  • Visa documentation checklist

  • Supporting documentation
     

Once the Invitation Letter has been prepared, issued, or delivered, the service is considered fully performed.

Accordingly:

  • Invitation Letter fees are strictly non-refundable and non-transferable after processing has begun.

  • Visa refusal does not qualify for a refund.

  • Failure to travel does not qualify for a refund.

  • Failure to upgrade to another participation category does not qualify for a refund.

  • Embassy decisions remain entirely outside the control of Nexus Public Policy Institute.
     

The Invitation Letter is issued in good faith based solely on the information provided by the applicant.
 

4. Fully Funded Category

The Fully Funded Category is merit-based and highly competitive.

The Application Processing Fee is non-refundable.

Selection is not guaranteed.

Failure to receive a scholarship does not constitute grounds for a refund.
 

5. Partially Funded Category

The Partially Funded Category is also merit-based.

The Application Processing Fee is non-refundable.

Applicants who are not selected are not entitled to a refund.
 

6. Self-Funded Category

Applicants who register under the Self-Funded Category are automatically approved upon successful payment.

The Self-Funded Participation Fee may be eligible for a Nexus Credit Voucher (NCV), subject to the cancellation schedule below.
 

To qualify:

  • The participant must have paid the participation fee in full.

  • The request must be submitted by email.

  • The request must be received before the applicable cancellation deadline.
     

Discounted registrations, promotional registrations, voucher purchases, installment payments, and partially paid registrations are not eligible for refunds or NCVs unless otherwise stated.
 

7. Premium Access Pass

Premium Access Pass participants are automatically confirmed upon successful payment.

Cancellation requests are handled under the same conditions as the Self-Funded Category unless otherwise specified for the particular event.

Only fully paid registrations may qualify for a Nexus Credit Voucher.
 

8. Online Participation

Where Online Participation is offered:

Application Processing Fees remain non-refundable.

Once login credentials or virtual access details have been issued, the service is considered delivered.


No refund will be provided due to:

  • Internet issues

  • Device incompatibility

  • Time zone conflicts

  • Failure to attend

  • Technical issues on the participant's side
     

9. Group Registration

Groups consisting of five (5) or more participants may apply under Group Registration.

Customized quotations and pricing may apply.
 

Once payment has been processed:

  • Group registration fees are non-refundable.

  • Group registrations are non-transferable.

  • Individual members cannot be substituted unless approved in writing by Nexus Public Policy Institute.

  • Partial cancellations within a group do not entitle the group to partial refunds.

If Nexus officially cancels the event, refunds or NCVs will be handled according to the purchased participation category.
 

10. Nexus Credit Voucher (NCV)

Where applicable, refunds are issued only as a Nexus Credit Voucher.
 

Conditions:

  • Valid for one (1) year from the date of issue.

  • Redeemable only for eligible Nexus events.

  • Non-transferable.

  • Cannot be exchanged for cash.

  • Cannot be sold.

  • Cannot be converted into another payment method.
     

If the value of the voucher exceeds the cost of a future registration, the remaining balance may be carried forward during its validity period.

A voucher issued using another voucher, promotional code, scholarship, or discount cannot itself be refunded or reissued.
 

11. Cancellation Schedule (Participation Fees Only)

The following applies only to eligible Participation Fees.

Application Processing Fees remain non-refundable.
 

45 or more days before the event

  • Eligible for a 100% Nexus Credit Voucher

30–44 days before the event

  • 50% cancellation fee

  • Remaining balance issued as NCV

15–29 days before the event

  • 75% cancellation fee

  • Remaining balance issued as NCV

Less than 15 days before the event

  • No refund

  • No NCV

  • Considered a No-Show
     

12. Refund Request Procedure

Refund or NCV requests must be submitted via email to: support@nexuspolicyinstitute.org
 

Subject:

Refund Request – [Event Name]
 

Please include:

  • Full Name

  • Registered Email

  • Order Number

  • Payment Method

  • Reason for Request

  • Supporting Documentation (if applicable)
     

Incomplete requests may delay processing.
 

13. Visa Refusals

Nexus Public Policy Institute does not guarantee visa approval. Visa decisions are made solely by the relevant embassy or consulate.
 

Visa refusal does not entitle an applicant or participant to:

  • Refund

  • Credit Voucher

  • Compensation

  • Reimbursement
     

14. Event Changes

Nexus reserves the right to modify:

  • Speakers

  • Hotels

  • Venues

  • Schedules

  • Activities

  • Accommodation providers

  • Event format

  • Program agenda

where reasonably necessary.

Such operational changes do not constitute grounds for refunds.

Equivalent alternatives may be provided where appropriate.
 

15. Force Majeure

Nexus shall not be liable for cancellations or disruptions caused by circumstances beyond its reasonable control, including but not limited to:

  • Natural disasters

  • Government restrictions

  • Pandemics

  • Civil unrest

  • War

  • Terrorism

  • Airline disruptions

  • Border closures

  • Embassy closures

  • Weather events

  • Utility failures

Refund requests arising from such events will be considered individually where required by law.
 

16. Travel Reimbursement (Fully Funded Delegates)

Where an event advertises travel reimbursement for Fully Funded delegates: Participants must complete the reimbursement form after the event.
 

Payments are generally processed within 4–8 weeks, subject to verification and compliance with program requirements.
 

17. Currency & Payment Charges

All payments are processed in USD unless otherwise stated.


Nexus Public Policy Institute is not responsible for:

  • Currency conversion differences

  • Exchange rate fluctuations

  • International banking fees

  • Credit card fees

  • Foreign transaction charges
     

Approved refunds or NCVs are calculated based on the original amount received by Nexus.
 

18. Fraud, Abuse & Chargebacks

Nexus Public Policy Institute reserves the right to deny refund requests and contest chargebacks where evidence demonstrates that:

  • Services were delivered.

  • Documents were issued.

  • Applications were processed.

  • The participant accepted the Terms & Conditions and Refund Policy before payment.
     

Fraudulent chargebacks, false claims, misuse of services, or deliberate attempts to obtain services without payment may result in:

  • Permanent exclusion from Nexus programs

  • Cancellation of registrations

  • Revocation of issued documents

  • Legal action where appropriate
     

19. Policy Updates

Nexus Public Policy Institute reserves the right to amend this Refund Policy at any time.

Updated versions become effective immediately upon publication on the official website unless otherwise stated.
 

Continued use of our services constitutes acceptance of the updated policy.
