Nexus Public Policy Institute values the privacy of our visitors and partners. We understand the importance of security and trust when handling personal information. This Privacy Policy explains how Nexus Public Policy Institute (hereinafter referred to as “Nexus,” “we,” “our,” or “us”) collects, uses, protects, and discloses personal information when you visit our website, subscribe to our mailing list, or engage with us as a partner.

We may collaborate with third-party services to provide certain website features, such as social sharing options. This Privacy Policy does not cover information you provide directly to such third parties, as they operate under their own privacy policies.

These Terms & Conditions ("Terms") govern your access to and use of the website, services, and event programs offered by Nexus Public Policy Institute, operated by Nexus Prime Group LLC (EIN: 33-4659415, registered in the United States) and Nexus Public Policy Institute Kft (Company Registration Number: 01-09-435424, registered in Budapest, Hungary).

By accessing this website or engaging in any of our programs or services, you agree to be bound by these Terms.
 

1. Legal Entity & Jurisdiction

  • The website https://nexuspolicyinstitute.org is managed by:

    • Nexus Prime Group LLC – United States (EIN: 33-4659415)

    • Nexus Public Policy Institute Kft – Hungary (CRN: 01-09-435424)

  • Country of Domicile: Hungary

  • All transactions, disputes, claims, or legal matters shall be governed by and interpreted under the laws of Hungary, without regard to conflict of law principles.
     

2. Use of Services

You may access our website and apply for programs, events, and services subject to the following terms.

a. Eligibility

  • You must be at least 16 years old to use our services.

  • All applicants must check their eligibility to apply for a visa before using our services.

  • Users from OFAC-sanctioned countries are not permitted to engage with our services.

b. Account Responsibility

You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account.

c. Liability Due to Damages:
You are responsible to take care of hotel/event venue/equipment or anything issued by Nexus Public Policy Institute to you during the event. In case of any damages, you will be held liable to cover the cost decided by Nexus Public Policy Institute or it's partners.

If you get involved in some fight or illegal activity during your stay with us for the purpose of attending the conference, Nexus Public Policy Institute will not be responsible of that and you will have to deal with the legal authorities independantly.

 

Any attempt to defame Nexus Public Policy Institute or to spread misinformation about the organization on social media or any other platforms will be taken seriously. Nexus Public Policy Institute reserves the right to pursue legal action against any individual or entity found engaging in such activities.

3. Event & Application Terms

By submitting an application to any of our events or programs, you acknowledge and agree to the following:
 

a. Application Processing Fees
 

  • A non-refundable application processing fee must be paid at the time of submission.

  • Applications without payment will not be considered under any category.

  • This fee does not constitute a ticket or admission fee to the conference. It solely covers the administrative and intellectual services necessary to:

    • receive, review, and evaluate the submitted application,

    • assess eligibility based on specific academic or professional criteria,

    • provide official written feedback or acceptance/rejection communication, and

    • maintain and manage the application database.


Application processing fees are separate from participation fees and do not guarantee admission, selection, scholarship, accommodation, travel support, or attendance unless expressly stated under the selected participation category.
 

b. Fully Funded Category
 

Submitting an application does not guarantee selection for the Fully Funded Category.

Slots are limited and competitive, and selection is based on eligibility, merit, available funding, and the evaluation criteria established by Nexus Public Policy Institute.
 

The published application processing fee is charged solely for the review and evaluation of the application and is non-refundable regardless of the outcome of the selection process.
 

Applicants selected under this category may receive benefits including, but not limited to, international airfare, luxury accommodation, meals, airport transfers, visa support, official invitation letter, conference participation, delegate kit, certificate, networking opportunities, guided city experience, and alumni membership, subject to the official benefits published for the respective event.
 

Benefits may vary between events and will always be governed by the information published on the official event webpage.

c. Partially Funded Category 

Applicants under the Partially Funded Category participate in a competitive selection process.

Selection is not guaranteed and is based on merit, eligibility, and available funding.

Selected applicants receive only the benefits officially listed under the Partially Funded Category for the specific event.

The application processing fee remains non-refundable irrespective of the final admission decision.
 

d. Invitation Letter Category
 

  • Upon successful order completion, an official invitation letter will be issued and sent via email (PDF format).

  • The invitation letter is issued in good faith based on the information you provide. We do not verify the accuracy of this information.

  • This is not a visa. Issuance of a visa is the sole discretion of the relevant embassy/consulate and outside our control.

  • Once your visa is approved, you must notify Nexus Public Policy Institute via email at info@nexuspolicyinstitute.org and upgrade to either the Summit/Forum/Assembly/Premium Access Pass or Self-Funded Category.

  • Failure to upgrade your category will result in denial of entry to the event, even with a visa.

The Invitation Letter Package may include, depending on the event:

  • Official signed invitation letter

  • Official institutional stamp

  • Unique reference number

  • QR-code verification

  • Visa documentation checklist

  • Embassy verification upon request
     

These services are intended solely as supporting documentation for visa purposes and should not be interpreted as legal immigration advice or a guarantee of visa approval.
 

Applicants who initially purchase only the Invitation Letter Package must later upgrade to another participation category (Summit/Forum/Assembly/Premium Access Pass or Self-Funded) subject to availability and payment of the applicable fees.
 

e. Self-Funded Category
 

Applicants under the Self-Funded Category are automatically approved upon successful payment.
No competitive selection process applies.
 

The Self-Funded Category guarantees participation in the event, subject to compliance with all registration requirements, applicable laws, visa approval where required, and these Terms & Conditions.
 

Benefits may include shared accommodation (accommodation is not always included in this category, please check the respective event page and the category benefits), official invitation letter, conference access, delegate materials, networking sessions, guided city experiences, certificate, and alumni membership according to the official event page.

The exact list of benefits shall always be determined by the official event webpage applicable to the purchased event.
 

f. Premium Access Pass
 

Applicants registering under the Premium Access Pass are automatically confirmed upon successful registration and payment.
 

Premium Access Pass participants receive the premium benefits advertised for the respective event, which may include shared accommodation, conference access, official invitation letter, airport transfers, meals, visa support, networking opportunities, delegate materials, certificate, and other premium services published on the official website.
 

The exact list of benefits shall always be determined by the official event webpage applicable to the purchased event.
 

g. Online Registration​
 

  • There is no selection process for online participation; all applicants who complete the registration and pay the non-refundable and non-transferable application processing fee will receive an official confirmation email.

  • The confirmation email will include the link and detailed instructions to access the virtual event platform.

  • All participants are responsible for ensuring a stable internet connection and proper setup to join the event online.
     

h. Group Booking
 

  • Groups of five (5) or more participants are eligible to apply for a group booking under any of the listed categories.

  • Upon receiving the group application, our team will provide a customized quote and detailed payment instructions based on the selected category.

  • Group booking is designed for institutions, organizations, or collectives wishing to register together and benefit from discounted and tailored offers. The same benefits apply as per the selected category.

  • Group pricing, discounts, payment schedules, and included benefits are determined individually and may differ from standard public pricing.

  • Group benefits will correspond to the participation category selected unless otherwise agreed in writing.
     

i. Category Benefits
 

  • Each category includes a distinct set of benefits, clearly defined on our website and materials.

  • Applicants will receive only the benefits associated with the category they apply for and pay under.

  • The descriptions, inclusions, and pricing of participation categories displayed on the official event website shall prevail over any promotional material if discrepancies occur.

  • Nexus Public Policy Institute reserves the right to improve, substitute, or modify non-essential benefits where operationally necessary while maintaining the overall value of the selected category.
     

4. Payment Terms

  • We accept Visa and MasterCard debit/credit cards in USD.

  • The currency and amount shown at checkout is the final charged amount.

  • A confirmation receipt will be issued after a successful transaction.

  • Cardholders must retain a copy of the transaction record and applicable policies.
     

Certain participation categories consist only of an application processing fee, while others consist of participation fees or service packages. All fees displayed during checkout are considered final unless expressly stated otherwise. The applicant is solely responsible for selecting the correct participation category before completing payment. Payments made under an incorrect category may only be corrected at the discretion of Nexus Public Policy Institute.
 

5. Refund Policy

  • Refunds, if applicable under exceptional circumstances, may be processed within 45 business days to the original payment method.

  • All refund requests must comply with our Refund Policy as posted on our website.
     

Application processing fees paid for competitive categories, including but not limited to Fully Funded, Partially Funded applications, and for invitation letter, remain strictly non-refundable once the application has been submitted.

Participation fees for automatically approved categories remain subject to the published Refund Policy applicable at the time of purchase.
 

6. Privacy & Data Use

Our use of your data is governed by our Privacy Policy.
By using our services, you consent to data collection and processing as described therein.
 

7. Prohibited Activities

You agree not to:

  • Use our website or services for unlawful or deceptive purposes

  • Impersonate any person or entity

  • Submit false or misleading information

  • Violate applicable laws or regulations

  • Distribute viruses, malware, or malicious content

  • Infringe upon intellectual property rights
     

We reserve the right to suspend or terminate your account for violating any part of these Terms.
 

8. Third-Party Services

We may collaborate with third-party providers (e.g., payment processors, event platforms).
You acknowledge that your use of such services is governed by their own terms and privacy policies.

 

Accommodation providers, hotels, transportation providers, payment processors, visa application centers, and other third-party suppliers operate independently from Nexus Public Policy Institute.

Nexus shall not be liable for service interruptions, pricing changes, cancellations, or operational decisions made by third-party suppliers.

9. Limitation of Liability

To the maximum extent permitted by law, Nexus, its officers, partners, and affiliates shall not be liable for any direct, indirect, incidental, special, or consequential damages arising from:

  • Your use of or inability to use our services

  • Failure to obtain a visa or travel authorization

  • Delays or disruptions due to external factors (e.g., embassy decisions, travel bans, global events)
     

We do not guarantee visa issuance, travel success, or admission. 

Nexus Public Policy Institute reserves the right to cancel or withdraw the applications of candidates at its sole discretion, including but not limited to cases involving the submission of false or misleading information, misuse of our services, failure to comply with application guidelines, or conduct deemed inappropriate or unprofessional.

Nexus Public Policy Institute makes every reasonable effort to organize the event as advertised. However, schedules, venues, speakers, accommodation providers, activities, and other program elements may change due to operational, safety, governmental, or force majeure circumstances without constituting grounds for compensation or refund unless required by applicable law.

Participation benefits advertised are subject to availability and operational feasibility. Equivalent alternatives may be provided where necessary.

Nexus Public Policy Institute shall not be responsible for losses arising from airline cancellations, visa refusals, travel restrictions, hotel operational issues, illness, weather conditions, governmental actions, or any other circumstances beyond its reasonable control.

 

10. Intellectual Property 

All content published on the Nexus Public Policy Institute websites, including text, graphics, logos, videos, designs, event materials, photographs, educational content, and digital resources, remains the intellectual property of Nexus Public Policy Institute unless otherwise stated.

No content may be copied, reproduced, distributed, modified, or commercially exploited without prior written permission.

11. Photography & Media Consent

By participating in any Nexus event, participants acknowledge that photographs, videos, and recordings may be taken during the event.

Participants grant Nexus Public Policy Institute and it's affiliate or sub organizations, the non-exclusive right to use such materials for promotional, educational, documentary, and marketing purposes without additional compensation unless otherwise prohibited by applicable law.

Participants who do not wish to appear in promotional materials should notify Nexus in writing before the event begins.

12. Changes to These Terms

We may revise these Terms at any time. Updates will be posted on our website and effective immediately unless otherwise noted. Your continued use of our services constitutes acceptance of the revised Terms.
